Medication Policy

Purpose

This policy outlines the procedures for the safe storage, handling, administration, and recording of medication for dogs attending the daycare, in accordance with UK animal welfare and licensing requirements.

Scope

This policy applies to all staff responsible for the care of dogs receiving medication while attending the daycare.

Owner Consent
  • Written consent must be obtained from the dog’s owner prior to administering any medication.
  • A completed Medication Consent Form must include:
    • Dog’s name
    • Medication name
    • Dosage and frequency
    • Method of administration
    • Duration of treatment
    • Owner signature and date
  • Medication will only be accepted if it is:
    • Clearly labelled
    • Prescribed by a veterinary surgeon
  • Any other medication (such as paracetamol, anti-histamines, over the counter will not be accepted) this is only acceptable if it is a DOG supplement 
Medication Acceptance
  • All medication must be provided in original packaging with clear instructions.
  • Staff reserve the right to refuse administration if:
    • Instructions are unclear
    • Medication is not properly labelled
    • The medication requires specialist skills (e.g. injections, unless trained staff are available)
Storage of Medication
  • Medication will be stored securely in a designated area.
  • Prescription medication will be kept in a locked cupboard.
  • Refrigerated medication will be stored in a designated fridge at the correct temperature.
  • All medication will be clearly labelled with the dog’s name.
Administration Procedure

Staff must follow these steps:

  1. Check the Medication Record Sheet
  2. Confirm dog identity
  3. Check medication name, dosage, and time
  4. Administer medication as instructed
  5. Observe the dog for any immediate reaction
  6. Record administration immediately

Where possible, a second staff member will verify the medication prior to administration.

Record Keeping

A Medication Record Log will be maintained, including:

  • Dog’s name
  • Medication name
  • Date and time administered
  • Dosage
  • Staff signature/initials
  • Any comments or issues

Records will be kept securely and retained in line with data protection requirements.

Monitoring and Adverse Reactions
  • Dogs receiving medication will be monitored for any side effects or changes in behaviour.
  • If any adverse reaction occurs:
    • The dog will be isolated if necessary
    • A veterinary surgeon will be contacted immediately
    • The owner will be informed as soon as possible

  • In an emergency, staff will seek immediate veterinary advice and treatment.
  • Refusal or Missed Medication
    • Any refusal or missed dose will be recorded and reported to the owner.
    • Staff will not force medication if it causes distress or risk of injury.
Disposal and Return
  • All unused medication will be returned to the owner at the end of the daycare session.
  • Expired or unwanted medication will not be disposed of on-site unless instructed by a veterinary professional.
Staff Training
  • All staff administering medication will receive appropriate training.
  • Training records will be maintained.
